Our client, a tour and travel company, is seeking a Tour Consultant to be based in South Africa.

Key Deliverables

Quotations  

  • Checking proposals quoted by the sellers.   
  •  Adding supplements, surcharges or discounts where needed.    
  • Constant communication with sellers for inquiries and feedback.   
  • Checking pre-confirmed programs and keeping track of unpaid bookings.   
  • Ensuring room configuration and pricing are correctly updated in the meister.   
  • Negotiating rates and ensuring that the meister has correct and up to date rates/prices.  

Reservations   

  • Making provisional bookings for the company’s guests.   
  •  Asking quotations to check if a booking is all good before working on it.   
  •  Making all the reservations and follow-ups-on the Booking Auto release.   
  •  Ensure clients' special requests on accommodation and room specifications are correct.   
  •  Following up confirmation of booking vouchers and booking – Domestic flights, International Flights.  
  •  Ensure right vehicle booking has been made for the clients  
  •  Preparing files and itineraries with all information and advance requests of all services included in the programs.  
  •  Making sure all suppliers send the correct invoice for accurate evaluation  

Transport  

  •  Ensuring overall smoothness of safaris.   
  • Handling Lost Luggage of clients in coordination with vehicle suppliers.   
  • Act as a contact Person for the Sales Team in the Transport Department.  
  • Monitoring and ensuring compliance to contract terms between vehicle suppliers and the company   

Quality Assurance   

  • Preparing Briefings for Clients and tour leaders/guides.   
  • Confirm all files for daily movements and check the accuracy of the information.   
  •  Obtain a copy of POP for all the bookings    
  •  Confirm hotel check-in and checkout times for clients.   
  •  Ensure that all activity bookings of clients are correctly booked.    
  •  Confirm Arrival and departure time for flights/check client’s schedule (and update info in the Proposal Meister if needed)  
  •  Ensure that safari Packs have directions to the rental car office, briefings (in client’s language), business card for the customer satisfaction and flight ticket(s)  

Sales Support/Customer Satisfaction   

  •  Be available for emergency support during customer travel and be creative in making solutions to everyone's satisfaction  
  •  Collaborate on safari-related complaints with the relevant departments.   
  • Follow established procedures for issue resolution.   
  •  Occasionally meet the customers for major issue resolution   
  •  Assist the team in refund management through Asana   
  •  Be the main information center for the sales team  

Evaluations   

  •  Evaluate all confirmed proposals.   
  •  Compare rates in the invoices with ones in the meister   
  •  Follow up on any missing invoices in the confirmed proposals   
  •  Follow up with the accounts department to ensure payments are made on time   
  •  Ensure the quality assurance team receives all the files that have the correct information before arrival   
  •  Picking all confirmed files - check if they all have invoices, check the number of rooms, room category, and  check-in and check-out dates are all correct

Essential Qualities

Essential Qualities
  • Bachelor/Diploma in the relevant field of study 
  • Minimum of two (2) years of experience with at least one year in a busy tour operations company.
