The Tax Administrator is responsible for providing comprehensive administrative and operational support to the Tax Department, ensuring the efficient coordination, accurate processing, and timely submission of tax-related documentation and correspondence. The role plays a critical support function in maintaining compliance with statutory and regulatory requirements, facilitating effective communication between clients, tax practitioner, and regulatory bodies (such as SARS and SAIT), and enabling tax professionals to focus on technical and advisory work. The candidate must display an ability to coordinate and liaise with various departments within the organisation to ensure workflows, processes, and communication operate smoothly and efficiently. Through strong organisational skills, attention to detail, and adherence to confidentiality and ethical standards. The Tax Administrator contributes to the smooth functioning, reliability, and professional service delivery of the Tax Department.

Tax Compliance & Administration
- Assist with the monitoring, reviewing, and processing of daily SARS and client correspondence, ensuring matters are allocated to the appropriate manager for attention, follow-up, and resolution.
- Monitor tax compliance matters, including administrative penalties, final demands, and SARS notifications, while maintaining controls to ensure that all matters are addressed timeously and escalated where necessary.
- Maintain and updates accurate tax compliance calendars to ensure the timely submission of all SARS-related deadlines, returns, and supporting documentation.
- Capture, updates, and maintains accurate information on internal tax practice management systems to support effective workflow management and reporting within the tax department.
- Maintain records, tracking logs, and follow-up schedules as internal support function to meet departmental deadlines and compliance obligations.
- Perform ongoing SARS eFiling maintenance, including profile updates, user access management, correspondence monitoring, and ensuring the integrity and accuracy of client eFiling records.
- Assist in maintaining effective administrative controls and organisational processes within the tax department to support operational efficiency and compliance management.
- Liaise with internal team members and clients to obtain outstanding information and documentation required for SARS submissions and departmental deadlines.
- Lead the tax mailbox and tax planner.
- Manage client take-ons and deletion (tax only).
- Update engagement letters and conflict checks as well as Greatsoft Reporting (Final demands and admin penalties).
- Track tax training, NAS checklist, bills for tax department and manages SARS Statements of accounts for Audit.
Client & Stakeholder Liaison
- Liaise with clients to obtain outstanding information required according to SARS documentary requirements.
- Communicate with SARS and other regulatory bodies regarding submissions, assessments, and general queries.
- Track the progress of tax computations and signed annual financial statements filings and following up where necessary and escalating technical issues to tax practitioner.
Records Management & Documentation
- Maintain accurate and up-to-date electronic and physical tax records in accordance with legislative, firm, and data protection requirements.
- Manage tax correspondence, including notices of assessment, queries, and general SARS communications.
- Ensure all documentation is complete, accurate, and appropriately filed prior to review or submission.
Operational & Team Support
- Provide day-to-day administrative support to the tax department to enable efficient workflow and service delivery.
- Assist with client onboarding processes, including the collection and verification of FICA documentation and tax registrations.
- Support internal quality control and review processes by checking documentation for completeness and consistency.
- Monitoring training plans for the department
- Assist with client billing and cost monitoring
