Key Deliverables

Under the hierarchical supervision of the Accountant, the Secretary/Cashier's role is:

  • Managing calls, emails, typing and distributing correspondence, greeting visitors and directing them to the appropriate people, for finance,
  • Collaborating on the archiving of all paper and digital financial files,
  • Participate in planning cash and mobile money needs with the finance team, respecting authorized cash limits.
  • Prepare cash flow requests based on operational needs to ensure cash reserves are met.
  • Monitor the cash position on "mobile money" accounts.
  • Reconcile activity advances, prepare monthly reports, reconcile mission and/or travel advances,
  • Keep all cash-related documents up to date: cash receipts, cash books (physical and electronic), supporting documents,
  • Verify the conformity and authenticity of the invoices related to the cash register,
  • Archive supporting documents weekly in both paper and digital format.
  • Conduct a physical inventory of the cash registers weekly, and a formal inventory at the end of each month.
  • Manage the cash register (including the "mobile money" cash register and the project's cash registers according to Enabel procedures,
  • Prepare the cash expense files (mission advances, per diems, transport, etc.),
  • Supporting the finance team with data entry into the financial software (UBW),
  • Contribute to the preparation and execution of internal and external controls or audits,
  • Perform any other task within his/her skills as assigned by his/her superiors.

Essential Qualities

Essential Qualities
  • Nationality: Democratic Republic of Congo,
  • Bachelor's degree (or equivalent) in Administration, Accounting, etc.
  • Professional experience of at least 3 years in a similar role (multipurpose administration or finance department),
  • Knowledge of the context of the North and South Kivu provinces is highly valued.
  • Attention to detail, adaptability and discretion,
  • Strong listening and communication skills, as well as good interpersonal skills.
  • Planning and organizational skills, and a proactive attitude.
  • Able to work in a team and in a multicultural environment,
  • Mastery of Microsoft office (Word, Excel, Outlook),
  • Very good level of spoken and written French;
