Job Description

The United Nations Population Fund (UNFPA) is implementing the 9th BURUNDI-UNFPA Cooperation Programme, covering the period 2024-2027. This programme can be accessed at https://burundi.unfpa.org. The programme aims to improve the quality of reproductive health care and services, strengthen national mechanisms and the capacities of institutions and stakeholders to combat discriminatory social and gender norms, build the skills and capacities of young people, and improve the production and use of data to support national planning. This will accelerate progress towards achieving UNFPA's three transformative results. To this end, the office needs to strengthen its team with a young Online Volunteer to assist with online representation. The young online volunteer will work under the direct supervision of the Personal Assistant to the Representative and under the coordination of the UNFPA Burundi Resident Representative for setting priorities in agreement with the supervisor.

Key Deliverables

- Support the drafting of speeches, briefing notes, and talking points; - Draft official correspondence and institutional messages; - Conduct contextual research and partner analyses; - Assist the Representative's Personal Assistant with office and secretarial tasks, adhering to all relevant UNFPA rules, guidelines, processes, and procedures, and respecting confidentiality standards; - Support the organization and maintenance of the Representation's filing system (physical and electronic); - Assist in managing the Representative's agenda, scheduling appointments and meetings, and preparing meeting minutes; - Assist in travel planning with the Senior Driver; - Assist in facilitating and preparing background documents for the Resident Representative's appointments, meetings, and missions; - Assist in preparing correspondence, directives, and comments from the Resident Representative for signature and follow up as needed. - Assist in preparing the Resident Representative's missions (booking flights and hotels); - Support the organization of UNFPA-mandated commemorative events; - Assist with office tasks (printing, scanning, and photocopying); - Provide support in other areas of intervention as needed; - Prepare institutional presentations

Professional Qualifications

Industry Qualification
Administrative and Support Services Possess strong interpersonal skills; - Be flexible and open to learning and new experiences; - Have a sense of respect for diversity and adaptability to other cultures, environments, and living conditions; - Be fluent in written and spoken French, English, and Kirundi; - Have basic knowledge of formal writing and protocol; - Have computer skills (i.e., Word, Excel, PowerPoint, social media, etc.)
