About the Role

This role will support project teams by overseeing all finance and administrative functions, ensuring smooth operations at the Country Program head office. This role is responsible for maintaining proper financial management, compliance, and reporting standards, while providing administrative support to facilitate efficient program delivery. 

About You

The person should possess BA degree or Advanced Diploma in Accounting, Management, Secretarial Science, or related field. 

Have a strong background in accounting, finance, and office administration; experience maintaining financial systems and preparing reports. 

Role purpose The overall purpose of the job is to support the Project Coordinator and their project team in all finance and administration functions and ensure that the Country programme head office is running smoothly by providing administrative support.

Key Deliverables

Account management 

▪ Ensures that all financial transactions are backed by supporting documents, are transparent and timely, in line with Ripple Effect country office finance manual.

 ▪ Ensure that all necessary cashbooks, nominal ledgers and salary accounts are maintained on our accounting system in line with the country finance manual and generally accepted accounting standards. 

▪ Ensure day-to-day financial transactions are timely, properly recorded and filed. 

▪ Support the preparation of the full range of financial reports, including bank, balance sheet, payroll reconciliations, reports for local accounting bodies and donors. 

▪ Facilitate and handle advances to staff and their settlements. FMS019 Project Accountant 2 of 4 Project and Grant expenditure management 

▪ Assists the Project team in managing the financial elements of restricted grant contracts ensuring that agreements are understood, the right procedures necessary are in place, quality budgets are designed, reporting requirements and deadlines are met. 

▪ Preparing and managing Project and Donor budgets 

▪ Preparing monthly and quarterly financial reports to donors 

▪ Review Income and Expenditure on a project basis. Understanding expenditure in the month compared to budget and provide narrative for any under/ overspend greater than 10%. 

▪ Provide technical assistance to all employees on administrative policies and procedures for grants management in terms of donor regulations, procurement requirement as per donor requirement. 

Procurement 

▪ Assist with the procurement process, including supporting purchase committee meetings and the subsequent purchasing process. Asset management 

▪ Monitor all aspects of vehicle management and ensure all employees and vehicles are fully insured and the premium is paid on time. 

▪ Update the fixed assets register and make an inventory on a biannual basis. 

HR administration 

▪ Handle basic HR queries from project staff, referring any complex issues to the Regional Finance and Admin Manager. 

▪ Facilitate enrolment in benefit programs such as medical and life policies and ensure new employee paperwork is complete and personnel files are properly maintained. 

▪ Prepares salary statements of employees and issues pay checks to them. 

▪ Ensure all non-financial resources or assets of the organization are procured, recorded, maintained, managed, administered, protected and utilized in an appropriate and effective way to support quality programme development and implementation. 

▪ Manages fuel supplies, service/repairs for vehicles 

▪ Helps coordinate the IT requirements of the organization. 

▪ Manages logistics for all visitors 

Other duties 

▪ Ensure compliance with Ripple Effect policies and all relevant legislation. 

▪ Act at all times according to Ripple Effect’s values and in support of its Africa Forward Together approach. 

▪ To undertake other duties of a similar nature as reasonably required by the Project Coordinator or Country Director.  

Essential Qualities

Essential Qualities

BA degree or Advanced Diploma in Accounting, Management, Secretarial Science or other related

fields.

Experience and knowledge

Essential:

▪ Strong experience in accounting, finance and office administration.

▪ Maintaining effective financial and accounting systems.

▪ Supporting the preparation of financial and management accounts and reports.

▪ Organising logistics and office administration.

Desirable:

▪ Accounting, finance and office administration in a non-for-profit and/or international development

setting.

▪ Providing administrative HR support.

Skills and attributes

Essential:

▪ Strong interpersonal, communication and listening skills with the ability to work across different

cultures.

▪ Ability to establish credibility quickly and maintain supportive relationships with staff, donors and

other stakeholders.

▪ Strong level of computer literacy, in particular Microsoft Office applications.

▪ Good written and spoken English communication.

▪ Excellent organisational skills, with ability to plan and priories own workload.

▪ Ability to handle sensitive data and information with discretion and confidentiality.
