Our Talent Team is on the hunt for a Planning and Material Requirements Co-Ordinator for their Baking-Speciality Division. The role will be based in Worcester and will report into the Supply Planning Manager.

The purpose of this role is to plan the production of Make to Order (Fresh and Just in Time) products, in conjunction with the production planner (where appropriate), create the factory works orders, and to ensure all communication is handled to ensure delivery of agreed stock. It is also to plan and coordinate P&I requirements to execute the production plan.

Key Deliverables

Functional Strategy into Action Operationalisation:

  • Facilitate integrated supply chain delivery by managing relationships and interaction with cross functional teams.
  • Coordinate and drive the outbound supply chain planning projects when applicable.

Just in Time Speciality Finished Goods Order Verification:

  • Daily, download the Woollies orders from the portal and update the works orders for the factory with today’s orders.
  • Extract the forward anticipated orders from the Woolworths portal in order to see anticipated forward demand and share forward plans with the plant.
  • Expedite those orders that do not fall within the required lead times but that must be executed.
  • Create/update works orders to enable the factory to produce against these customer orders.
  • Communicate with the call centre and the sales team, production and planning managers when demand cannot be met and advise on the plan to manage the gap.
  • Complete a daily reconciliation of expected orders to actual orders to ensure that all usual orders have been received (e.g. branch orders which are regular). Where there are gaps, contact the appropriate account manager for assistance.
  • Use SAP/Syspro to double check that all orders are covered (In SAP: ZZPDPRECON for Directs and ZPBCSSTOS for branches).
  • Monitor Packaging expectation report daily and resolve batches left behind on the report.
  • Monitor HITW recon report weekly, investigate reasons for failures and keep the report clear of errors.

Transport Requirements Planning:

  • Work with the site despatch and transport team to ensure that provision is made for fresh stock orders using the weekly fresh forecast as a guide for the week in advance requirements plan.
  • On a daily basis, extract the customer orders (customer direct and branch replenishment orders) from SAP/Syspro or Woolworths portal to ensure that dispatch can allocate all orders to a vehicle on the loading schedule.
  • Based on the extracted orders, plan and book trucks and slots required.
  • Ensure that any promotions that may require the planning of additional trucks or space on trucks are sufficiently catered for and communicated.
  • Ensure daily that all orders for loading are allocated to trucks and have the necessary system documentation created (e.g.: shipments and deliveries).
  • Liaise with customers and delivery centres on any delivery delays or deviations.
  • Maintain transport trackers as required and report weekly on truck utilization and expected transport cost.

Customer Service Monitoring for Finished Goods Stock:

  • Liaise closely with the call centre or customer (internal), as appropriate, to ensure that any deviations to the production plan are communicated accordingly (expected shortages, etc).
  • Complete a daily reconciliation of expected orders to actual orders to ensure that all usual orders have been received (e.g. branch orders which are regular).
  • During periods where public holidays impact on delivery schedules, ensure that the orders are received timeously and make the necessary arrangements for any change in delivery schedule.
  • Run customer service level reports daily to correct any service failures.
  • Monitor customer service levels by order to ensure that all orders are fully executed and report exceptions.
  • Maintain the Actual vs Forecast Monitor for fresh on a daily basis and issue the report.

Materials Co-ordination of Packaging and Ingredients:

  • Work closely with suppliers and the stores supervisor to ensure that ingredients and packaging materials arrive on site before they are required for production.
  • Using SAP (COOSIPI)/Syspro, calculate the quantities required in order to meet the weeks’ production/demand plan and ensure stock arrives on site the week before it is required or as per safety stock levels.
  • Call off the materials from suppliers to meet the weekly production plan.
  • Manage the timing of the call-offs/delivery dates where space is critical to ensure delivery and maintain safety stock levels to avoid negatively impacting production.
  • Communicate and plan P&I requirements and delivery dates with suppliers.
  • Work with stores supervisor if orders need to be expedited or delayed.
  • Coordinate and expedite the flow of materials between sites, according to production schedules or priorities and ensure the system transactions are completed.
  • Monitor anticipated schedule receipt dates in with stores supervisor and follow up with suppliers if deliveries are late.
  • Drive on-time, in-full compliance with suppliers.
  • Manage stock levels of materials in accordance with changes to plan.
  • Identify possible stock inaccuracies and work with the stores supervisor and or production for buffer stores, to correct any stock inaccuracy.
  • In conjunction with stores supervisor, ensure that obsolete and quality compromised stocks are written off promptly.
  • Communicate overstocks or shortages to the supply planning manager and make recommendations to resolve situations.
  • Raise any NCRs against suppliers as required for any deviations against POs.
  • Monitor COGIs on SAP weekly, assist with investigating root causes and drive corrective actions.

Essential Qualities

Essential Qualities
  • Matric is required.
  • SAPICS qualification (e.g. PPIM) is advantageous.
  • 2-3 years’ experience in a planning, distribution or customer service orientated industry.
  • Computer literacy (SAP, Shopfloor system awareness, and MS Office skills prerequisite).
  • Specific supply chain experience is advantageous.
  • Production planning skills with strong knowledge of production processes.
  • SAP skills and/or knowledge of supply chain planning tool.
