Job Description
The Order Coordination Manager ensures smooth execution of customer orders from entry to delivery, managing exceptions and providing proactive communication to internal and external stakeholders. It focuses on operational excellence, customer satisfaction, and root cause analysis for delays.
Specifically, it is responsible for the end-to-end order lifecycle across the EMECA region. This includes order fulfilment coordination, and issue resolution. The role ensures that customer orders are processed accurately, efficiently, and in alignment with service levels, and continuously striving for excellence.

Order Management:
- Implement processes and controls to track and manage order delivery adherence and take corrective action when exceptions arise. This includes coordination with all other ISC functions to ensure expediency of order delivery.
- Coordinate across the ISC functions to ensure orders are delivered on time and in good order.
- Track order status, provide proactive updates to Sales and Project Management on delivery dates and potential delays.
- Resolve issues impacting OTD and escalate critical cases as needed.
- Own mitigation plans for injured orders throughout execution.
- Manage orderbook delivery adherence and corrective actions.
Return:
- Work with relevant functions to ensure returns are executed in a timely manner and closed off with an appropriate response.
- Implement processes and controls to track and manage return order delivery adherence and take corrective action when exceptions arise. This includes coordination with all other ISC functions to ensure relevant actions from NCR or CAR investigations are appropriate and closed out.
- Coordinate with other regional and divisional teams where the ISC function is waiting for information, for example sales, quality, engineering, projects, etc.
Collaboration:
- Coordinate with Source, Make & Maintain and Assemble & Fulfil teams to ensure optimal integration and execution of orders across our ISC functions.
- Work closely with the Sales, Service, Engineering and Projects teams to manage on time delivery and implement actions and plans to correct when deviations occur.
Continuous Improvement:
- Drive continuous improvement of processes through the application of WINS and data analytics to identify trends and opportunities for enhancement.
- Drive the adoption of Weir standard / best practice processes, systems, and tools across EMEA through active leadership and participation in the Mastering Systems program.
- Improve efficiencies, reduce costs and drive towards excellence in service levels.
- Capture and report delay reasons to drive corrective actions and process improvements.
- Ensure NCR/CAR investigations are closed out for returns and warranty orders.
Team Leadership:
- Leverage advanced analytics and digital tools to make data-driven decisions and optimise order execution and delivery.
- Provide visibility in end-to-end processes to support efficient and effective ways of working and performance.
- Support adoption of automation and digital tools for order coordination processes including ensuring availability of team members or self to participate in key user activities as required.
- Monitor governance and risk indicators to ensure compliance.
