The Beni office supports the coordination of administrative and HR activities in the field and facilitates the effective functioning of local interventions.

Key Deliverables

As an administrative assistant:

  • To ensure the administrative management of the Beni office, guaranteeing the proper maintenance of files, the smooth flow of information, and compliance with internal procedures.
  • Providing secretarial support for the office: managing calls and emails, typing and distributing correspondence, welcoming visitors and directing them to the appropriate people.
  • Organize and monitor the office's schedules, meetings, travel, and logistics.
  • Maintain the register of incoming and outgoing mail as well as all administrative files,
  • Supporting the preparation of reports and tracking spreadsheets for management,
  • Collaborating in the creation, updating and archiving of all paper and digital administrative files,

As an HR manager:

  • Provide basic HR support for the Beni office, including monitoring absences, leave, and attendance sheets.
  • Ensure the archiving of local staff files, both paper and digital.
  • Participate in welcoming new employees, inform them about internal procedures and HR tools,
  • Ensure compliance with internal HR procedures and tax and legal obligations,
  • Collect and transmit variable payroll data,
  • To be a point of contact for employees on HR matters and to support them in their HR processes,

Essential Qualities

Essential Qualities
  • Nationality: Democratic Republic of Congo,
  • Bachelor's degree (or equivalent) in Administration, Social Sciences, etc.
  • Professional experience of at least 2 years in a similar role (multipurpose administration or HR support),
  • Knowledge of the context of the North and South Kivu provinces is highly valued.
  • Excellent writing and organizational skills,
  • Attention to detail, adaptability and discretion,
  • Strong listening and communication skills, as well as good interpersonal skills.
  • Planning and organizational skills, and a proactive attitude.
  • Able to work in a team and in a multicultural environment,
  • Mastery of Microsoft office (Word, Excel, Outlook),
  • Very good level of spoken and written French;
