Unit Coordination & Management • Plan, coordinate, and monitor the entity's activities in accordance with the priorities defined by the Head of the Internal Services Department and/or the Management Committee. Management of Managers' Offices • Manage schedules, organize meetings, and ensure coordination with stakeholders * Prepare meeting materials (analyses, summaries, briefing notes) * Draft, translate, and formalize correspondence and communications * Guarantee confidentiality, archiving, and document traceability. Communication & Coordination • Serve as the point of contact between the Director, internal teams, suppliers, and partners * Filter and prioritize communications; * Ensure the relay and follow-up of instructions. Coordinate travel, missions, meetings, and committees; • Prepare presentation materials (PowerPoint, dashboards, reports) Governance & Project Monitoring Establish and maintain the governance framework (methodology, RACI, templates): * Contribute to business cases, scoping documents, and impact analyses; * Monitor project progress and alert in case of deviations. Reporting & Performance Consolidate progress reports and produce dashboards; * Prepare periodic reports (weekly, monthly, quarterly); * Monitor action plans and operational risks. Supplier invoice management: Ensure follow-up of validations according to workflows; * Check document compliance (purchase orders, deliveries, contracts, minutes); * Monitor and maintain the invoice dashboard; * Identify blockages, follow up with stakeholders and propose solutions; * Coordinate with Finance, Accounting, Procurement and Administration; * Respond to supplier requests and produce the required reports.

| Product & Project Management | Education: Master's degree in Business, Finance, Project Management, or a related field • Experience: 3+ years in executive assistant, operations management, or chief of staff roles supporting a business owner or executive • Communication: Exceptional written and verbal English. You write clearly, concisely, and professionally without being asked to revise • Technical Skills: Advanced proficiency in Google Workspace, Notion, Excel, and project management tools. You do not just use these tools, you build systems with them • Financial Literacy: Comfortable with budgets, P&L statements, invoicing, expense tracking, and basic financial modeling • Availability: Able to work 30 to 40 hours per week aligned with Pacific Standard Time (PST) business hours • Work Setup: Reliable high speed internet, a quiet dedicated workspace, and backup power if applicable |
