Mission and objectives
In 2021, UNDP’s Regional Bureau for Africa launched timbuktoo, a multi-pronged initiative aimed to galvanize African youth as entrepreneurs, innovators, and problem solvers. The initiative is focused on supporting and growing innovative, scalable, and impactful entrepreneurship by African young people, while relying on a springboard of partners who together contribute meaningfully to building an African youth innovation and startup ecosystem. The timbuktoo approach is anchored in seeking, nurturing, and building African solutions forwarded by Africa’s youth that directly address one or more of the seventeen Sustainable Development Goals (SDGs). Timbuktoo is an explosive new entrant into UNDP Africa’s ambition to transform the African continent by harnessing on the African people themselves, particularly its ambitious, vibrant, youth, as the key to its development and path out of poverty. To achieve this bold ambition timbuktoo utilizes a hub and spoke model composed of 10 thematic nodes.
Context
In line with the Digital Strategy, UNDP Rwanda would like to embark on the implementation of a project using our already existing Microsoft corporate packages i.e., SharePoint online. The project aims to improve and optimize the way the CO manages documents with smart attachments and shares them with external parties. The UN Volunteer will facilitate collaboration among team members through easier co-editing and sharing of the calendar; and enable business process automation

Under the direct supervision of the ICT Manager, the UN Volunteer/Digital Transformation Associate will assist with the development and implementation of SharePoint Project through the following activities:
Support the office digital transformation, focusing on achievement of the following results:
• Support the digitization and digital transformation of the office in close collaboration with the In-formation Communication Technology (ICT) unit
• Assist in the rollout of new systems and automated and enhanced tools to streamline, optimize busi-ness processes and improve the office’s overall performance
• Support the identification of areas of improvements and provide advisory services to the Senior Management to continuously improve its operations and the implementation of the Country Pro-gramme
Support the management, revision and development of the CO online tools, focusing on achievement of the following results:
• Assist to develop online applications as solutions to business problems (demand-based) that address the needs of sharing experience and expertise
• Contribute to the management of software development projects for new tools/systems and updates of old tools/systems including needs assessment, project management, assuring compatibility with the existing platform, standards, guidelines and procedures for the office technology environment
• Support to prepare internal policies and procedures on the use of SharePoint/websites
• Interpret user requirements and translate these into systems specifications
• Provide technical support and assistance to the staff in the sphere of web development, content man-agement and related areas
• As part of a team, ensure data security and consistency of online applications
• Assist to monitor and analyse the pattern of visits to the relevant sites, keep statistics on the number of hits to each of them and present a monthly report on his/her findings
• Ensure technical documentation for tools is in place.
• Perform any other official duties and special assignments which may be requested by the supervisor
Support the Coordination and Content Sourcing of the revamped SharePoint
• Follow up with different teams or colleagues for missing or outdated content.
Reorganize the document library
• Preparing guidance notes and documenting system developments
• Capture user requirements and translate to technical requirements
• Support in the development, implementation and rollout of digital projects
• Support in the training sessions for personnel
• Monitor basic site analytics (if available) and share monthly summaries of user engagement (e.g., most accessed documents).
• Collect user feedback (via quick polls or surveys) on site usefulness and areas for improvement.
