Bitcube is seeking a motivated and detail-oriented Hiring Coordinator to join our dynamic team. This role is ideal for individuals building towards a career in Human Resource management. You will work closely with key stakeholders in the company to fill roles building the future of the company.

Key Deliverables

  • Review open roles, salary ranges and deadlines with key stakeholders.
  • Gather job description and edit as required.
  • Create a library of job descriptions, requirements , duties and salary ranges.
  • Create and update various job postings across social media and recruitment portals.
  • Screen applications and CVs and select candidates suited to specific roles.
  • Compile preliminary shortlists for approval by stakeholders.
  • Send and collect feedback from screening questionnaires.
  • Arrange first interviews with relevant team members.
  • Arrange social interviews with relevant team members.
  • Send and collect practical assignments.
  • Compile interview feedback, screening questions and assignment results in individual folders.
  • Present final shortlisted candidates to stakeholders for approval.
  • Arrange final interviews with relevant team members.
  • Draft offers to candidates, to be approved by the CEO or Head of Finance.
  • Collect required documents and bio information from new hires.
  • Draft employee contracts, to be approved by Finance Administrator
  • Perform a reference check on candidates.
  • Send rejection letters to candidates.
  • Notify IT and design teams to prepare for candidate arrival.
  • Arrange orientation program for new hires.
  • Arrange welcome boxes for new hires.
  • Send a welcome email, company handbook and introduce the supervisor and team members.
  • Send a follow up message to team members after 1 week to check in.
  • Take new team members on a guided tour of the office on their first day. Or facilitate in the case of team members in another office.
  • Make sure that probation/ performance reviews are conducted with team members.
  • Make sure that Moodle tests are completed by new team members.
  • Manage benefits packages for team members, explain benefits like medical, fitness and life coach.
  • Maintain records of benefits applicable for each team member and update documents when necessary.
  • Make sure that performance reviews are conducted with all team members, track dates of performance reviews and send out performance review reminders.
  • Proof read performance reviews and make sure requirements are met.
  • Facilitate team member resignations, termination letters and the cancellation of any benefits.
  • Facilitate interactions with external labor consultants as needed.
  • Facilitate employment equity meetings, making sure stakeholders are involved and that the meetings are conducted regularly. 
  • Keep track of intern progress, manage extensions of the internship program and manage issuing of certificates at the end of the program. 
  • Create and maintain team member records, including information on department, job title and manager.
  • Leave coordination with team members across their projects.
  • Making updates to the company handbook in coordination with the CEO and design team as and when required.
  • Managing team member training and making sure continuous development takes place.
  • Tracking compulsory training requirements as per employment contracts.
  • Assisting team members with examination bookings, payments etc.
  • Collect certificates & diplomas etc. from team members and file in their folders.
  • Manage project assignments in coordination with department heads based on team members skill sets.
  • Inform team members of upcoming project resource changes in advance.

  • ‘Time to employment’ for filling new roles.
  • Number of resignations & failed probation periods.
  • Number performance reviews conducted on time.
  • Number of ‘courses/diplomas/etc’ completed by the team.

Essential Qualities

Essential Qualities
  • A minimum of a high school diploma.
  • Strong mathematical and English skills
  • Familiarity with productivity platforms like Google Calendar, Docs and Google Meet.
  • Extremely proficient in scheduling and followup
  • Keen attention to detail and an eye for spotting future talent.
  • Excellent organizational skills to manage multiple tasks efficiently.
  • Strong communication skills, both written and verbal.

Highly Beneficial Skills (Nice-to-have):

  • Further education or experience in Human Resource Management is a big advantage.
  • Experience with online recruitment platforms such as LinkedIn, PNet, Indeed or similar.
  • 1+ years of experience with recruitment.
  • Familiarity with the software development industry.
