Job Description

Under the supervision and guidance of the Administrative Officer, the Receptionist is responsible for welcoming visitors, receiving documents, and recording the entry and exit of Mercy Corps employees.

Key Deliverables

Reception: Greet visitors to Mercy Corps and verify their appointments; Inform Mercy Corps employees of any upcoming visits before admitting visitors; Distribute visitor badges and direct visitors to the appropriate employees; Maintain a visitor and badge log; Inform and direct visitors on general matters. Document Reception: Ensure the proper receipt of documents (letters, invitations, etc.) and distribute them to the administrative department; Distribute received documents to the inboxes of correspondence related to HR, administration, programs, and procurement (as applicable). Administration: Ensure that Mercy Corps employees register upon arrival at the office (in the morning) and upon departure; meticulously compile application files, ensuring the submission/signature sheet is duly completed where applicable; update administrative tracking files as needed. Other similar tasks: Perform other similar tasks as required and requested by management; conduct oneself, both professionally and personally, in a manner that upholds the Mercy Corps brand and does not jeopardize its humanitarian mission in the DRC; provide interim coverage as requested by management when necessary; adhere to Mercy Corps' confidentiality policy during and after work. PROTECTION RESPONSIBILITIES: Actively learns about protection and integrates it into work, including risk protection and mitigation measures related to the area of ​​work. Practices Mercy Corps' values, including respect for the dignity and well-being of participants and other team members. Encourages openness and communication within their team; encourages team members to submit reports if they have concerns using reporting mechanisms, such as the Integrity Hotline and other options. SUPERVISORY RESPONSIBILITY Reports directly to: Administrative Officer Works directly with: Program, HR, Operations, Finance, Security, and Ethics Teams ACCOUNTABILITY TO PARTICIPANTS AND STAKEHOLDERS Mercy Corps team members must support all accountability efforts, particularly towards participants in our programs and community partners.other stakeholders and international standards guiding international relief and development work. Professional Qualifications

Industry Qualification
Hospitality (Accommodation And Food Services) Grade 12 or tertiary qualification in Hospitality. 4–5 years’ experience in front-of-house or customer service roles. Computer literacy (MS Office).
