Job Purpose

The Personal Assistant (PA) will provide high-level executive support to the CEO, ensuring efficient coordination of schedules, meetings, travel, and communication across departments. The role requires a highly organized, responsible, and proactive individual who can represent the CEO when needed, manage sensitive information with discretion, and work flexibly, including odd hours and travel.

Key Deliverables

1. Executive Support & Coordination

  • Accompany the CEO to meetings, take comprehensive notes, and prepare accurate meeting minutes.
  • Follow up on action items and ensure timely completion of tasks assigned during meetings.
  • Act as the liaison between the CEO and Heads of Departments (HODs), monitoring progress on deliverables.
  • Sit in departmental meetings on behalf of the CEO, record detailed notes, and provide updates to the CEO.

2. Travel & Logistics Management

  • Arrange local and international travel, including flights, hotel bookings, visas, and ground transportation.
  • Ensure all travel plans are efficient, cost-effective, and aligned with the CEO’s schedule.

3. Calendar &  Meeting Management

  • Organize and manage the CEO’s calendar, appointments, and events to optimize time and productivity.
  • Coordinate with internal and external stakeholders to schedule meetings and engagements.

4. Documentation & Communication

  • Draft, edit, and prepare reports, presentations, and correspondence for the CEO.
  • Handle confidential information with the utmost professionalism and discretion.

5. Administrative Support

  • Ensure the CEO is well-prepared for meetings with all required documents and briefs.
  • Manage filing systems, office supplies, and other administrative tasks as required.

6. Flexibility & Representation

  • Be flexible to work outside normal office hours and travel on short notice.
  • Represent the CEO in professional settings when required, ensuring professionalism and accuracy in reporting back.



Essential Qualities

Essential Qualities
  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Minimum of 3 years’ proven experience as a Personal Assistant, Executive Assistant, or similar role supporting senior executives.
  • Strong understanding of office management systems and procedures.
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and proactive.
  • Ability to work under pressure, prioritize, and multitask effectively.
  • Strong interpersonal skills with the ability to liaise across all levels of the organization.
  • High integrity, discretion, and confidentiality in handling sensitive information.
  • Flexible and willing to work odd hours and travel as required.
  • Professional demeanor with strong problem-solving skills.
