The Senior Grants Officer will be responsible for assisting the country program team in maintaining strong relationships with its donors and developing donor deliverables, while ensuring deadlines are met. Through analysis and monitoring to ensure compliance with specific grant requirements, this position will also provide specialist support in other dimensions of the project management cycle, including:

Grant management and compliance;

Documentation of results and reports, including the preparation and/or review of information and reports for internal and external stakeholders;

Updating the internal management systems of the IRC.

Key Deliverables

Grant management and compliance: (70%)

Supporting programs by participating in project cycle meetings, including grant opening, implementation and closing meetings;

Supporting the Grants department in disseminating grant/proposal documents, while responding to information requests from the Grants manager and Grants Coordinator;

Monitor and support the use of grant/project management tools to ensure accurate tracking of opportunities, reports and programmatic adjustments throughout the project lifecycle;

 

Providing translation assistance between Kirundi, French and English;

Support for monitoring assigned project reports for their timely submissions, respecting donor requirements and good reporting standards;

Support for reviewing reports in French and English to be submitted to donors

Proactively contribute to project cycle meetings in collaboration with the relevant project managers to ensure quality and timely project implementation

Supporting the department in the development of new projects through document analysis, report preparation, summaries and analysis sheets;

Working with the Partnership department to analyze partners' narrative and financial reports, train them on compliance and donor rules, and consult with them throughout the project cycle.

Perform or contribute to other tasks that may be assigned by the Grants Coordinator and the management team.

 

Information Management 20%

Maintain complete electronic records for programs and ensure that IRC colleagues have access to relevant records and information;

Ensure proper filing and maintenance of all program-related documents (grant files) in paper and electronic format, including regular updates of Grants on OTIS, in the Box system and in the Grants Tracker.

 

Donor relations and communication 10%

 

In coordination with relevant colleagues, support the Grants Coordinator in responding to compliance inquiries from donors and answering donor compliance questions as appropriate.

Ensure that relevant staff members are informed of all communications from donors, regulatory changes and meetings.

Support for visits and/or meetings of donors.

Professional Qualifications

Industry Qualification
Financial Activities Education : University degree in management, administration, development studies, project management, sociology, communication, social sciences, or a related field Professional experience: Experience of at least 24 months working with international non-governmental organizations; be able to demonstrate experience in working with donors such as UN agencies, European government donors and the EU. Demonstrated technical skills: Proven experience in coordinating and preparing reports for institutional and private donors; Practical knowledge of budget preparation and management. Required/preferred languages: Fluency in French and English, both spoken and written. Computer requirements/other: Proficiency in MS Office (Word, Excel, PowerPoint); Strong computer skills, including online research and online data management platforms; Being able to work in a team and prioritize work tasks; Ability to work independently, while always demonstrating a strong work ethic; Having excellent critical thinking skills, a positive attitude, and a proactive problem-solving approach at work is essential; To demonstrate a great deal of dynamism; Ability to use and develop complex programmatic and financial tools and systems; the area of ​​grants, administration, finance, program sector or other relevant sectors; Excellent communication skills and excellent interpersonal skills.
