Job Purpose Summary:

The Monitoring & Evaluation Assistant is responsible for performing and/or oversight of the entry, analysis, and reporting of confidential clinical data for Kenya Program. The M&E Assistant will implement and maintain data collection systems, monitor the integrity of collected data, and provide oversight for the data collection processes generally. S/he will write or contribute to reports for a variety of audiences, including the International Services, and Research Departments from the home office, as well as reports on client progress to lead clinicians and other clinical staff.

Key Deliverables

  1. Data management: Clean, and maintain electronic records of clinical assessment data and oversees like processes for other Kenya-based data-related staff. Process completed assessment forms (submitted by clinical and counseling staff), enter the data into a database/datasets, verify that data is correctly entered, detect and resolve data integrity issues. Create documentation of computer file folders and location of database/dataset files. Store original (blank), master, and analysis (files created for analysis) files in separate computer folders. Name and organize data files and folders according to the documented convention. Back-up data storage files after each wave of data entry. Safe guard the confidentiality of client data. Ensure the secure storage of electronic client data (as well paper forms while in possession). Overall, proactively ensure all data are collected, entered, cleaned, organized, protected, and utilized to a high standard of quality.
  2. Data Analysis: Analyze and interpret results using SPSS or Excel for reporting and ad hoc analyses. Calculate frequencies, descriptive statistics, and generate figures/graphs (e.g., bar charts, pie charts). Score client measures (i.e., Problem Rating Scales) for aggregate reporting and analysis purposes. Devise and conduct additional analyses as needed to respond to requests to address substantive evaluation or clinical questions.
  3. Clinical Data Collection Support: Maintain original, blank, paper copies of the clinical assessment forms. Ensure that a supply of adequate paper forms is available as needed by clinical and counseling staff. Work with clinical and counseling staff to ensure adequate procedures are in place to securely collect, enter, and store confidential client information, especially as forms are submitted to, and returned from, data entry staff.
  4. Monitoring: Monitor data and data collection processes to ensure adherence to data collection protocols, especially as it relates to clinical assessment measures. Collaborate with clinical, counseling, and administrative staff to address and problem solve data-related issues. Report deleterious or ongoing data-related issues to the Country Representative and/or CVT Research Department. Protect clinical assessment forms from any changes without the approval of CVT Research Department.
  5. Evaluation: Support rigorous evaluation to assess effects of CVT’s activities. Measuring the progress of survivors is embedded into the therapeutic process of every CVT healing initiative. Collaborate with clinical team to identify areas for evaluation and work with Research to design appropriate methodologies. Support internal evaluations and internal research projects, as requested. Collaborate in conducting baseline, mid-term, and final evaluations where required by HQ research department.
  6. Reporting: Develop, submit, or contribute to regular reports concerning program activities and clinical assessment data for both internal and external audiences. External audiences include quarterly and annual reports to donors. Internal audiences include monthly reports to CVT Headquarters International Services staff, requests from CVT Research Department, or local, ad hoc, requests from clinical, counseling, or administrative staff.
  7. Consultation and Communication: Consult with CVT staff (i.e., admin, clinical, counseling) concerning data management, data collection, data analysis, or evaluation topics as requested. Consult and/or collaborate on other reporting efforts involving data as requested. Maintain communications with clinical and counseling staff and CVT Research Department. Participate in clinical/counseling meetings/gatherings as possible. Gain familiarity with our work with clients. Gather meaningful questions from clinical, counseling, and administrative staff concerning our clients and our program. When possible, conduct analyses and present results from CVT data germane to addressing such questions.

Essential Qualities

Essential Qualities
  • Required education, experience, certificates, licenses or registrations
  • Degree in Statistics, or development related studies.
  • 3-5 years’ experience in Monitoring and Evaluation with INGO.
  • Experience with digital / electronic data collection and database management.
  • Experience proven experience in managing M&E systems.
  • Experience of managing donor funded projects
  • Experience with hardcopy and electronic filing and archive management
  • Excellent knowledge of Microsoft Office.
