Context

The United Nations Population Fund (UNFPA) is implementing the 9th UNFPA-BURUNDI Cooperation Programme, covering the period 2024-2027. This programme can be accessed at https://burundi.unfpa.org. The programme aims to improve the quality of reproductive health care and services, strengthen national mechanisms and the capacities of institutions and actors to combat discriminatory social and gender norms, build the skills and capacities of young people, and improve the production and use of data to support national planning. This will accelerate progress towards achieving UNFPA's three transformative results. Since 2024, UNFPA-Burundi has launched a "Professional Skills Accelerator Internship Programme" for young people. To provide interns with a comprehensive mentoring package as part of their professional career plan, immersion sessions within the United Nations system, including the UN Volunteers programme, are planned. To fully leverage the UNV program, online volunteer career advisors are being recruited to support them. This is how a mentor is planned for interns assigned to the UNFPA-Burundi office.

Key Deliverables

The mentor's main tasks consist of helping the intern become familiar with the work of UNFPA Burundi in general and, in particular, in the areas of support to the Representation, including: - Assisting the Personal Assistant to the Representative with office and secretarial tasks, mastering all relevant UNFPA rules, guidelines, processes, and procedures, and respecting confidentiality standards; - Supporting the organization and maintenance of the Representation's filing system (physical and electronic); - Supporting the management of the Representative's agenda, appointments, and meetings, as well as the preparation of meeting minutes; - Supporting travel planning in coordination with the Senior Driver; - Supporting the preparation of background documents for the Resident Representative's appointments, meetings, and missions; - Supporting the preparation of correspondence, directives, and comments for the Resident Representative for signature and ensuring the necessary follow-up; - Support the preparation of the Resident Representative's missions (booking flights and hotels); - Support the organization of commemorative events related to the UNFPA mandate; - Support the completion of office tasks (printing, scanning and photocopying); - Ensure the receipt, filing and archiving of documents; - Support the internal and external communication of the Representation (letters, emails, dissemination of information); - Contribute to the drafting of notes, reports or meeting minutes; - Provide support in other areas of intervention as needed.

- Hold at least a Master's/Bachelor's degree from a recognized university or educational program in Administration, Human Resources, or another related field. - Possess strong interpersonal skills. - Be flexible and open to learning and new experiences. - Demonstrate respect for diversity and adaptability to other cultures, environments, and living conditions. - Be fluent in written and spoken French, English, and Kirundi. - Have basic knowledge of administration and project management. - Be proficient in computer skills (e.g., Word, Excel, PowerPoint, social media, etc.).
