Job Description

 The Materials Admin Manager is responsible for overseeing and coordinating administrative operations within the materials business unit.


This role ensures that office processes run smoothly, supporting the efficiency of various departments while maintaining compliance with company policies and procedures.


This role, main focus will be responsible to ensure that internal sales, scheduling, order processing, invoicing and purchasing for the materials business unit.

Key Deliverables

  • Supervise and manage administrative staff including assigning tasks and monitoring performance
  • Provide training, guidance and support to staff
  • Foster a productive and positive work environment.
  • Manage discipline within the administration department and apply corrective measures as and when required
  • Identify and implement opportunities to improve efficiency and workflows within the admin department
  • Manage the IT systems within the department
  • Ensure smooth coordination between the admin, finance departments and operations
  • Manage daily office activities to ensure efficiency and organization. Includes but not limited to internal sales, order process, cash sales, raw material control, scheduling and logistics
  • Implement and maintain administrative policies, procedures and systems in accordance with PPC policies.
  • Ensure that all resources are manged effectively.
  • Ensure all sales queries and quotes are submitted to clients and followed up within 24 hrs
  • Ensure scheduling of product is done correctly and achievable within reasonable time
  • Ensure that all operations have sufficient logistical resources to deliver all ordered products
  • Ensure that all orders are processed timeously to ensure that operations can operate smoothly
  • Manage accurate stock control in the Ready-Mix operations
  • Manage accurate stock control of the Aggregates Warehouse
  • Ensure that transporter claims are in alignment with actual deliveries at the correct agreed rates. (All entities
  • Manage office budgets, expenses and financial records
  • Oversee the purchasing of all goods for the materials business unit.
  • Ensure price lists are updated on a 6 monthly basis for all business lines
  • Assist the Finance team with Audit requests regarding sales and procurement
  • Manage CBD sales ensuring money reflects in PPC bank accounts before products are dispatched
  • Ensuring all goods received match to order numbers
  • Ensure compliance with PPC policies and control systems
  • Payroll (Commission, Car Claims, Expense Claims, Bonus Loads, Overtime, Kusile Payroll, Time and Attendance)
  • Maintain accurate records, contracts, supply agreements and documentation
  • Support finance teams by ensuring all records of financial process are correctly captured on the system matching to order numbers ready for payment by AP

Essential Qualities

Essential Qualities
  • Bachelor’s degree: Business Administration/Accounting/Finance
  • 3 years (plus) Experience
  • Knowledge of the Construction Industry preferably Ready-Mix, Ash and Aggregates
  • Experience in procurement in a construction materials business
  • Good managerial skills.
  • A good team player with a high level of dedication. Excellent verbal and written communication skills. Ability to persuade and influence others.
  • Sales management would be advantageous
  • Purchasing management would be advantageous
  • Experience in office administration at a senior level
  • Experience in logistics and order scheduling
  • Experience Pastel EVO and SAP
  • Experience in managing a diverse team
