Job Description

These positions are located in country offices, regional offices, or at Headquarters. Incumbents report to the Unit Manager, the Head of Management Services, or their deputy.

At this level, incumbents are responsible for the proper implementation of various procedures and activities, requiring them to interpret, to some extent, the available guidelines and standard practices. All incumbents must be able to recommend courses of action to colleagues at various levels and may assign tasks to other support staff.

Key Deliverables

Perform tasks and activities within the portfolio of management services to support efficient and high-quality service delivery.

2. Gather data and prepare basic analyses to contribute to the creation of reports for effective resource management.

3. Handle routine actions related to purchasing, finance, human resources and other relevant areas, contributing to the efficient and timely recording of data in the organization's systems.

4. Manage and maintain physical and digital records in accordance with established procedures to ensure quick and easy access to data, where required.

5. To be the first point of contact for internal matters, providing quick and accurate answers to facilitate the efficient and effective resolution of daily problems.

6. Participate in and suggest improvements to procedures and practices to support the continuous improvement of services provided.

7. Use digital tools and technological applications to improve work practices and employee service.

8. Liaise with other functions and third-party contractors to enable efficient service delivery.

9. Support compliance with organizational policies, rules and procedures, ensuring the application of internal standards and contributing to the reduction of operational and administrative risks.

10. Support the monitoring and improvement of the performance of administrative services by contributing to the collection of indicators, the identification of bottlenecks and the implementation of corrective actions promoting operational efficiency.
