Key Deliverables

Cleaning up and bringing logistics files into compliance

  • Verify and correct the logistics files from the last year (or closed fiscal years): supporting documents, analytical codes and signatures.
  • Identify anomalies or inconsistencies and propose documented corrective actions.
  • Ensure the completeness and conformity of logistics documents according to the standards of the organization and donors (ECHO, US, SDC, etc.).
  • Support the consolidation of logistics archives in coordination with field teams.
  • Ensure traceability of all corrections made.

Improvement of procedures and tools

  • Review internal logistics procedures in conjunction with the logistics coordinator and the headquarters logistics contact person (cash management, expense validation, budget monitoring, advances, monthly closings, etc.).
  • Propose and implement simplified and standardized tools if necessary: ​​logistics tracking templates, stock report, equipment, vehicle fleet tracking/maintenance/budget allocation, communication tracking, energy equipment tracking….
  • Strengthen the links between the finance, logistics and programs departments for an integrated compliance chain.
  • Support the updating of the logistics manual and internal control procedures as needed.

Technical support and capacity building

  • Train and support the logistics team on compliance, document management and analytical rigor.
  • Implement a targeted skills development plan (practical sessions, individual coaching).
  • Advise the logistics coordinator and the Head of Mission on measures to prevent recurring errors.
  • Participate in the preparation and follow-up of internal and external audits.

Essential Qualities

Essential Qualities
  • Advanced university education (minimum Bachelor's degree + 3 years in the field of logistics and/or international cooperation)
  • At least 10 years of experience in the humanitarian field and field experience in a complex security context
  • Proven experience in reviewing and optimizing logistics processes.
  • Experience in team management. Additional specialized knowledge required.
  • Fluent French/native speaker and good knowledge of English. Good knowledge of the requirements of humanitarian donors (ECHO, US, SDC, UN, etc.).
  • Proficiency in logistics tools. Excellent analytical, writing and communication skills.
  • Personal skills / psycho-social requirements: Ability to work independently with initiative, flexibility and a sense of responsibility
  • Ability to work with different partners with an open mind and appropriate communication
  • Good listening skills and ability to identify needs
  • Excellent organizational skills, meticulousness, and respect for deadlines.
