As part of our continued growth, we are seeking a highly organized and proactive Clinic In-Charge to oversee the administrative and operational functions of the clinic while ensuring efficient patient services and seamless coordination between clinical, administrative, and insurance processes.

Role Summary

The Clinic In-Charge will be responsible for coordinating the day-to-day operations of the clinic, supervising administrative processes, overseeing insurance claims management, and supporting the clinical team to ensure efficient service delivery.

Key Deliverables

Clinic Operations and Coordination

• Oversee the daily operations of the clinic, ensuring smooth workflow and efficient service delivery.

• Coordinate patient flow to ensure timely consultations and minimal waiting times.

• Ensure proper functioning of reception, billing, and administrative systems.

• Maintain organized administrative and patient documentation systems.

• Ensure clinic operations comply with healthcare regulations, licensing requirements, and internal policies.

Insurance Claims and Billing Management

• Oversee processing and submission of insurance claims to ensure accuracy and timeliness.

• Liaise with insurance companies to facilitate approvals, pre-authorizations, and claims reconciliation.

• Follow up on outstanding claims and address rejected claims promptly.

• Maintain proper billing records and ensure compliance with insurer requirements.

Administrative Oversight

• Supervise front office and administrative staff to ensure professionalism and efficiency.

• Coordinate appointment scheduling and clinic calendars.

• Prepare administrative reports related to clinic activity, claims, and operational performance.

• Manage official clinic correspondence and documentation.

Patient Experience and Service Quality

• Ensure patients receive professional, respectful, and efficient service.

• Address patient concerns or complaints promptly and professionally.

• Support initiatives aimed at improving patient satisfaction and service quality.

Staff Supervision and Support

• Provide day-to-day supervision of administrative staff.

• Assist with onboarding and training of new administrative personnel.

• Promote teamwork and adherence to clinic standards and procedures.

Compliance and Confidentiality

• Ensure strict confidentiality of patient information and adherence to data protection requirements.

• Maintain compliance with clinic policies, insurance procedures, and healthcare standards.

Essential Qualities

Essential Qualities

• Minimum of a Diploma in Healthcare Administration, Business Administration, or a related field.

• A Bachelor’s degree will be an added advantage.

• At least 3 years’ experience in a healthcare administrative role, preferably in a hospital or specialist clinic.

• Demonstrated experience handling medical insurance claims and billing processes.

• Strong proficiency in clinic management systems and Microsoft Office applications.
