Key Deliverables

Compensation and Payroll Administration

  • Execute and manage monthly payroll processes accurately and within established timelines.
  • Prepare and process all HR-related payments, including:
  • Grading bonuses
  • Loading and offloading payments
  • Casual employee payments
  • Salary adjustments and rectifications
  • Employee final dues and settlements
  • Prepare and issue employee payslips on or before the 5th of each month.
  • Conduct payroll reconciliations and ensure payroll accuracy.

Financial Reporting and Compliance

  • Prepare General Ledger (GL) analysis and submit reports by the 5th of every month.
  • Complete finance postings accurately and within the required timelines.
  • Maintain proper documentation and records for all payroll and compensation transactions in both hard-copy and electronic formats.

Performance and Personnel System Management

  • Maintain and regularly update the Personnel System (PS).
  • Track and ensure timely submission of probation assessment forms by all Heads of Department.
  • Process and maintain records relating to:
  • Salary adjustments
  • Promotions
  • Demotions
  • New employee onboarding information
  • Employee terminations and exits
  • Support performance management processes and ensure accurate employee data management.


General HR Support

  • Provide timely reports and feedback to management.
  • Support HR projects and initiatives as assigned.
  • Perform any other duties assigned by the Human Resource Manager or Supervisor.
  • Key Performance Indicators (KPIs)
  • Payroll accuracy and timeliness.
  • Quality and accuracy of compensation records and reports.
  • Timely completion of assigned tasks.
  • Responsiveness and effectiveness in stakeholder support.
  • Compliance with company policies and procedures.
  • Professionalism and positive work attitude.

Essential Qualities

Essential Qualities
  • Bachelor's Degree in Human Resource Management, Business Administration, Commerce, or a related field.
  • Minimum of 1 year of experience in Human Resources, Payroll Administration, Compensation & Benefits, or a related role.
  • Strong proficiency in Microsoft Excel, Word, and other Microsoft Office applications.
  • Experience working with HRIS or payroll management systems is an added advantage.
  • Strong numerical and analytical skills.
  • Excellent written and spoken English.
