Job Description

TWYFORD IMPEX (U) LTD is looking for a highly organized and proactive Office Administrator to oversee the daily operations of the office and support management in ensuring efficient administrative processes. The successful candidate will coordinate activities between departments, manage office resources, and provide executive administrative support to ensure smooth and effective operations.

Key Deliverables

Office Operations & Administration

  • Oversee and monitor daily office operations to ensure smooth workflow across departments.
  • Coordinate communication between management and staff.
  • Track office supply inventory and approve supply orders to maintain adequate stock.
  • Maintain office files, records, and administrative databases.
  • Ensure all staff are assigned identification numbers and registered in the biometric attendance system.
  • Manage staff schedules and assign administrative duties where necessary.
  • Serve as the main contact for office inquiries and internal issues.

 

Executive & Administrative Support

  • Draft letters, memos, reports, presentations, proposals, and official correspondence on behalf of the Managing Director.
  • Schedule appointments and meetings for executives and senior management.
  • Organize meetings, prepare agendas, and record meeting minutes.
  • Prepare daily reports on office operations for the General Manager.

 

Department Coordination & Supervision

  • Monitor activities across departments to ensure tasks and responsibilities are carried out effectively.
  • Understand the operations of each department and provide temporary support when department heads are unavailable.
  • Delegate responsibilities to staff members to maintain operational efficiency.
  • Supervise all administrative personnel within the company.

 

Financial & Compliance Support

  • Assist in preparing and implementing departmental budgets.
  • Ensure timely payment of company bills and operational expenses.
  • Process and raise claims on behalf of the Managing Director and departments.
  • Follow up on company registration, licenses, and regulatory compliance.

 

Facilities & Logistics Management

  • Secure company apartments, manage payments, and ensure they are properly furnished.
  • Supervise office construction and renovation projects.
  • Liaise with HR to organize company conferences, trainings, and events.

 

Employee Engagement & Organizational Support

  • Conduct meetings with employees to address concerns and gather feedback.
  • Provide recommendations to management to improve office efficiency and overall operations.

Professional Qualifications

Industry Qualification
Administrative and Support Services Bachelor’s degree in Business Administration, Office Management, or a related field. Proven experience in office administration or administrative management. Strong organizational and multitasking skills. Excellent communication and interpersonal skills. Proficiency in Microsoft Office and office management systems. Ability to work under pressure and handle multiple responsibilities. High level of professionalism and confidentiality.
