Personal Assistant at Afri Toys
We are seeking a highly organized and proactive individual to join our team as a Personal Assistant. As a Personal Assistant, you will provide comprehensive support to a busy executive, ensuring the smooth and efficient operation of their daily activities. You will be responsible for managing their schedule, coordinating meetings, handling correspondence, and performing various administrative tasks. The ideal candidate is detail-oriented, resourceful, and possesses excellent communication skills.
Responsibilities:
· Efficiently manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements. Ensure all commitments and deadlines are met, and provide timely reminders.
· Serve as the primary point of contact for the executive, managing incoming calls, emails, and messages. Handle correspondence on their behalf, drafting and proofreading emails, memos, and other documents.
· Coordinate and arrange meetings, both internal and external, including logistics, agendas, and materials preparation. Take meeting minutes, distribute them, and follow up on action items.
· Coordinate travel arrangements, including flights, accommodations, transportation, and visas. Prepare detailed itineraries and ensure all travel-related documents are in order.
· Provide general administrative support, such as managing expenses, processing invoices, maintaining files and records, and handling confidential information with discretion.
· Conduct research and prepare reports, presentations, and briefings on various topics as requested. Summarize information and provide recommendations as necessary.
· Assist in managing and coordinating special projects, both independently and in collaboration with other team members. Monitor project timelines, track progress, and ensure deadlines are met.
· Build and maintain strong relationships with internal and external stakeholders, including clients, partners, and team members. Act as a liaison between the executive and other individuals or departments.
Qualifications:
· Proven experience as a Personal Assistant or similar role, preferably supporting high-level executives.
· Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
· Strong verbal and written communication skills, with keen attention to detail.
· Proficient in using office productivity tools, such as Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management software.
· Discretion and integrity in handling sensitive and confidential information.
· Resourceful problem-solving skills and the ability to work independently.
· Flexibility and adaptability to changing priorities and environments.
· Bachelor’s degree in a relevant field is preferred but not required.
